Why Companies Shouldn't Just Buy Individual AI Accounts

When every employee buys their own AI account, nobody can see who uses which model or what data leaves. Companies need one trusted relay or gateway instead.

Baize AI

Many teams start with AI the same way. Each person signs up for an account, pays with their own card, and keeps their own password. This is fast at first. Over time it becomes a risk. The accounts sit with individuals, so the team cannot see who is using AI, how much they use, or whether sensitive code and data are being sent out. When people leave or change roles, the accounts and permissions go with them. Nobody can say which data passed through whose account.

The missing piece is an organization-level entry point. Tighter account housekeeping does not supply it. A company needs one unified, controlled, auditable point of access. Who can use AI, which models they can use, how much they use, and whether a problem can be traced right away should all be rules set in advance. They should not depend on each person’s discipline.

A trusted relay handles this layer. A relay here means an API proxy that the company runs or contracts for: staff call models through it instead of through personal accounts. It turns scattered individual access into one entry point the organization manages. Permissions are assigned by role. Usage records can be queried. Unusual activity can be traced back. For the team, the change is a place where they can finally see how AI is being used.

As the team grows and the number of models increases, the relay tends to grow into a fuller gateway. Authentication, multi-model routing, cost accounting, and failover are all managed in one place. This is why Baize AI designs access as its own layer instead of treating it as a one-time purchase.

If your team still runs on one personal account per person, settle how AI access works before adding more accounts. How a company connects to AI determines whether it can use AI safely. To see how Baize AI designs this layer, visit our services page.
